Job Description
Are you a meticulous technical writer with a passion for streamlining processes and creating crystal-clear documentation? Chinhoyi University of Technology is seeking a highly skilled and dedicated Remote Onboarding Workflow Documentation Creator to join our team on a contract basis. In this crucial remote role, you will be responsible for comprehensively mapping, documenting, and improving our internal new employee onboarding workflows. As our institution continues to grow and evolve, ensuring a seamless, efficient, and welcoming onboarding experience for every new team member is paramount.
Your expertise will be instrumental in translating complex, multi-departmental processes into easily understandable, actionable guides and resources. This includes everything from initial HR paperwork and IT setup to departmental introductions and mandatory training pathways. You will collaborate closely with various stakeholders across HR, IT, and academic/administrative departments to gather information, identify pain points, and propose optimal solutions that enhance efficiency and compliance. Key Responsibilities
- Conduct in-depth interviews with HR, IT, and departmental stakeholders to thoroughly understand existing onboarding processes and requirements.
- Develop comprehensive, step-by-step documentation for all new employee onboarding workflows, covering administrative, technical, and departmental aspects.
- Create clear and concise process maps, flowcharts, user guides, and FAQs that are easily digestible for new hires and staff.
- Identify inefficiencies, redundancies, and potential areas for improvement within current onboarding workflows and propose solutions.
- Ensure all documentation is accurate, up-to-date, compliant with university policies, and reflects best practices.
- Establish and maintain a version control system for all created documents, ensuring easy access and historical tracking.
- Collaborate effectively with cross-functional teams remotely to gather necessary information and validate documented processes.
- Provide recommendations for tools and platforms to enhance documentation creation, storage, and accessibility.
- Conduct review sessions with stakeholders to gather feedback and refine documentation.
- Translate complex technical or procedural information into easily understandable language for a diverse audience.
Required Skills
- Proven experience (minimum 3 years) in technical writing, process documentation, or instructional design.
- Strong understanding of workflow analysis and process mapping methodologies.
- Exceptional written and verbal communication skills in English, with an ability to simplify complex information.
- Proficiency with documentation tools (e.g., Microsoft Office Suite, Google Workspace, Confluence, Visio, Lucidchart).
- High level of attention to detail and accuracy in all written materials.
- Ability to work independently, manage multiple tasks, and meet deadlines in a remote environment.
- Strong analytical and problem-solving skills.
Preferred Qualifications
- Bachelor's degree in Communications, Technical Writing, Business Administration, Human Resources, or a related field.
- Experience with HR Information Systems (HRIS) or Learning & Development (L&D) platforms.
- Familiarity with the operational structures and onboarding challenges within higher education institutions.
- Project management experience or certifications.
