Key Responsibilities

  • Conduct initial client consultations to understand event objectives, preferences, and budgetary constraints for both wedding and corporate events.
  • Develop comprehensive event proposals, including themes, concepts, venue suggestions, vendor recommendations, and detailed cost breakdowns.
  • Manage all aspects of event logistics, including venue selection, catering, décor, entertainment, audiovisual equipment, and transportation.
  • Negotiate contracts and build strong relationships with vendors, ensuring high-quality service delivery within budget.
  • Create and manage detailed timelines, schedules, and checklists to ensure all planning milestones are met.
  • Oversee on-site event setup, execution, and breakdown, providing expert coordination and troubleshooting to ensure a seamless experience.
  • Provide exceptional client communication and support throughout the planning process, addressing concerns and providing regular updates.
  • Conduct post-event evaluations, gather client feedback, and prepare final reports to assess success and identify areas for improvement.

Required Skills

  • Minimum of 3 years of professional experience in event planning, specifically with weddings and corporate events.
  • Demonstrable portfolio of successful events.
  • Exceptional organizational and time management skills, with the ability to manage multiple projects concurrently.
  • Strong negotiation and vendor management abilities.
  • Proficiency in event management software (e.g., Aisle Planner, Social Tables) and Microsoft Office Suite.
  • Excellent written and verbal communication skills, with a professional and client-centric approach.
  • Proven ability to manage budgets and maintain financial accountability.
  • Creative mindset with an eye for design and detail.

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Marketing, or a related field.
  • Certification in Event Planning (e.g., CSEP, CMP).
  • In-depth knowledge of local vendors, venues, and cultural nuances in Anchovy and St. James.
  • Experience with digital marketing and social media promotion for events.
  • Bilingual proficiency (e.g., English and Spanish) is a plus.
