Job Description

Enashipai Resort & Spa is seeking an enthusiastic and experienced Event Coordinator to join our dynamic hospitality team in Naivasha. In this pivotal role, you will be instrumental in conceptualizing, planning, and executing a diverse range of events, from elegant weddings and significant corporate conferences to lively social gatherings and bespoke celebrations.

As our Event Coordinator, you will be the primary point of contact for clients, guiding them through every step of the event planning process. This involves understanding their vision, translating it into actionable plans, coordinating with various internal departments and external vendors, managing budgets, and ensuring seamless on-site execution. Key Responsibilities

  • Serve as the primary point of contact for clients from initial inquiry through post-event follow-up, understanding and articulating their event vision.
  • Develop detailed event proposals, including timelines, budgets, venue layouts, and vendor recommendations.
  • Coordinate all logistical aspects of events, including catering, décor, audiovisual equipment, entertainment, transportation, and accommodation.
  • Manage relationships with external vendors, negotiating contracts and ensuring timely delivery of services.
  • Collaborate closely with internal departments such as culinary, sales, operations, and front office to ensure cohesive event execution.
  • Conduct site inspections and pre-event meetings with clients and internal teams.
  • Oversee on-site event setup, execution, and breakdown, addressing any issues promptly and professionally.
  • Maintain accurate event records, contracts, invoices, and post-event reports.
  • Ensure all events comply with safety regulations, resort policies, and client specifications.
  • Actively seek feedback from clients and continuously look for opportunities to enhance event services and guest satisfaction.

Required Skills

  • Proven experience as an Event Coordinator or similar role within the hospitality industry.
  • Exceptional organizational and project management skills with a keen eye for detail.
  • Strong interpersonal and communication skills, both written and verbal, for effective client and vendor interaction.
  • Ability to manage multiple projects simultaneously and work effectively under pressure.
  • Proficiency in event management software and Microsoft Office Suite.
  • Excellent problem-solving abilities and a proactive approach to challenges.
  • A strong understanding of hospitality operations and guest service principles.
  • Financial acumen for budget management and cost control.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Certification in Event Planning (e.g., CMP – Certified Meeting Professional).
  • Familiarity with local Naivasha vendors and service providers.
  • Fluency in additional languages beyond English (e.g., Swahili).
