Job Description

We are seeking a highly organised, passionate, and detail-oriented A&R Administrator to join our vibrant team in Caversham, Reading. This is an incredible opportunity for someone with a love for music and a knack for seamless administrative support to play a crucial role in the artist discovery and development process. As an A&R Administrator, you will be the backbone of our Artist & Repertoire department, ensuring the smooth operation of daily tasks that empower our A&R managers to focus on what they do best: finding and nurturing extraordinary talent.

Your day-to-day will be diverse, ranging from managing complex schedules and coordinating critical meetings to meticulously tracking artist submissions and maintaining our crucial artist database. You’ll be the central point of contact for various internal and external stakeholders, including artists, managers, legal teams, and other departments, requiring excellent communication and interpersonal skills. This role demands a proactive individual who can anticipate needs, problem-solve efficiently, and maintain discretion with sensitive information. You will also assist with the logistical planning for recording sessions, showcases, and other artist-related events, ensuring everything runs without a hitch.

Key Responsibilities

  • Provide comprehensive administrative support to the A&R team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as a primary liaison for artists, managers, and internal departments, ensuring smooth communication and timely information flow.
  • Maintain and update artist databases, project tracking systems, and A&R archives with accuracy and confidentiality.
  • Assist with the processing and tracking of demo submissions, ensuring proper documentation and follow-up.
  • Prepare presentations, reports, and other documents for A&R meetings and industry events.
  • Coordinate logistics for recording sessions, showcases, and promotional events, including venue booking, equipment, and catering.
  • Process invoices, expense reports, and other financial documentation related to A&R activities.
  • Conduct preliminary research on emerging artists, market trends, and competitive landscape as required by A&R managers.
  • Manage contract administration and assist with legal documentation where necessary, ensuring compliance and accuracy.

Required Skills

  • Minimum of 3 years of administrative experience, preferably within the music, entertainment, or creative industries.
  • Exceptional organisational skills with a keen eye for detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple tasks, prioritise effectively, and meet deadlines in a fast-paced environment.
  • Demonstrated passion for music and a solid understanding of the contemporary music landscape.
  • High level of discretion and ability to handle confidential information.
  • Self-motivated with a proactive and problem-solving attitude.

Preferred Qualifications

  • Bachelor’s degree in Music Business, Arts Administration, Communications, or a related field.
  • Experience with CRM software or specific music industry management tools.
  • Familiarity with intellectual property rights and basic contract terminology.
  • Previous experience supporting a creative or executive team.
  • Knowledge of digital music platforms and social media trends in artist promotion.
