Key Responsibilities
- Prepare, meticulously examine, and process a full spectrum of import and export documentation, including bills of lading, shipping manifests, customs declarations, certificates of origin, and commercial invoices.
- Ensure unwavering and strict compliance with all local and international trade regulations, customs laws, and established company policies.
- Proactively coordinate with freight forwarders, shipping lines, and customs agents to facilitate timely customs clearance and efficient delivery of goods.
- Maintain comprehensive and accurate records of all import/export transactions, ensuring data integrity, traceability, and immediate accessibility for internal and external audits.
- Communicate effectively and professionally with suppliers, clients, and relevant internal departments regarding shipment status updates, potential delays, and critical documentation requirements.
- Swiftly and efficiently resolve discrepancies, complex customs issues, and unexpected shipping problems to minimize operational disruptions and maintain schedules.
- Accurately calculate and process duties, taxes, tariffs, and other applicable fees directly related to import and export activities.
- Monitor inventory levels in conjunction with logistics teams and coordinate with warehouse personnel for efficient loading, unloading, and storage schedules.
- Stay continuously informed and updated on all changes in trade laws, tariff codes, customs procedures, and industry best practices relevant to Kenyan and international trade.
- Generate insightful reports on trade desk activities, transaction volumes, and critical compliance metrics for senior management review and strategic planning.
Required Skills
- Proven experience (minimum 1.5 years) as an Import Export Clerk, Documentation Clerk, or a similar trade desk role.
- Solid understanding of international trade laws, customs procedures, shipping regulations, and Incoterms.
- Demonstrated proficiency in preparing and processing a wide range of import/export documentation.
- Exceptional organizational skills, meticulous attention to detail, and a high degree of accuracy.
- Strong communication, negotiation, and interpersonal skills, capable of liaising effectively with diverse stakeholders.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for data management and reporting.
- Ability to work both independently and collaboratively within a fast-paced, high-pressure environment.
- Strong problem-solving aptitude and a proactive approach to issue resolution.
Preferred Qualifications
- A Diploma or Degree in Supply Chain Management, Logistics, International Trade, Business Administration, or a closely related field.
