Key Responsibilities

  • Consult with clients to understand their vision, objectives, budget, and specific requirements for both wedding and corporate events.
  • Develop comprehensive event proposals, including detailed timelines, venue selection, vendor recommendations, and creative concepts.
  • Manage all aspects of event logistics, including sourcing and negotiating with vendors (caterers, florists, photographers, entertainers, AV specialists, etc.).
  • Create and manage detailed budgets, ensuring all expenses are tracked and kept within allocated limits.
  • Design event layouts, themes, and décor, ensuring a cohesive and aesthetically pleasing atmosphere.
  • Coordinate all pre-event arrangements, including invitations, guest lists, RSVPs, and transportation logistics.
  • Oversee on-site event setup, execution, and breakdown, acting as the primary point of contact for clients and vendors.
  • Troubleshoot any issues that may arise during an event, ensuring smooth and seamless operation.
  • Conduct post-event evaluations, gather feedback, and provide recommendations for future improvements.
  • Maintain up-to-date knowledge of industry trends, venues, and vendor offerings in Jamaica.

Required Skills

  • Proven experience in event planning, with a strong portfolio showcasing both wedding and corporate events.
  • Exceptional organizational and time management skills, capable of managing multiple projects simultaneously.
  • Strong communication, negotiation, and interpersonal skills.
  • Proficiency in budget management and financial tracking.
  • Creativity and a keen eye for detail and aesthetics.
  • Ability to work independently and as part of a collaborative freelance network.
  • Excellent problem-solving abilities and grace under pressure.
  • Familiarity with local Mandeville and Jamaican vendors, venues, and cultural nuances.
  • Proficient in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Planning (e.g., CSEP, CMP).
  • Established network of reliable vendors and industry contacts in Jamaica.
  • Experience with virtual or hybrid event planning platforms.
  • Bilingual proficiency (English and Spanish).
