As the first point of contact for guests, your role is pivotal in setting the tone for their entire stay. You will be instrumental in maintaining the hotel’s reputation for outstanding service, handling telephone calls, managing mail, and providing accurate information about hotel services, local attractions, and amenities. Operating the hotel’s property management system (PMS) will be a daily task, requiring proficiency and accuracy. Maintaining the lobby area’s presentation, ensuring security protocols are followed, and collaborating seamlessly with other departments such as housekeeping and F&B are also key aspects of this dynamic role. Key Responsibilities

  • Warmly welcome and register guests upon arrival, assigning rooms and issuing keys.
  • Process guest check-outs efficiently, handling payments and resolving any billing discrepancies.
  • Manage reservations accurately, including modifications, cancellations, and special requests.
  • Answer incoming calls professionally, providing information and directing calls appropriately.
  • Address guest inquiries, concerns, and complaints promptly and courteously, escalating issues when necessary.
  • Maintain an organized and tidy reception area, ensuring a professional appearance.
  • Handle cash, credit card transactions, and maintain accurate daily financial records.
  • Provide guests with information about hotel facilities, services, and local attractions.
  • Collaborate with housekeeping to ensure rooms are ready for check-in and report maintenance issues.
  • Operate the hotel's property management system (PMS) with proficiency.

Required Skills

  • Proven customer service experience, preferably in a guest-facing role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in basic computer applications (MS Office, email).
  • Ability to work effectively in a fast-paced environment.
  • High level of professionalism and attention to detail.
  • Problem-solving skills and a proactive approach to guest satisfaction.
  • Ability to work flexible shifts, including weekends and public holidays.

Preferred Qualifications

  • Previous experience as a hotel receptionist or in the hospitality industry.
  • A diploma or certificate in Hospitality Management or a related field.
  • Familiarity with hotel property management systems (e.g., Opera, Fidelio).
  • Ability to communicate in a second language (e.g., Yoruba, French).
