Job Description
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our vibrant team in Nyagatare. This full-time, on-site role is pivotal in ensuring the smooth and efficient operation of our branch, providing essential support to management and staff, and contributing to a positive work environment. As an Administrative Assistant, you will be the backbone of daily administrative functions, handling a diverse range of tasks that require excellent time management, communication, and problem-solving skills. You will play a crucial role in maintaining our high standards of service and operational excellence, directly impacting the productivity and success of our branch. Key Responsibilities
- Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents with high accuracy and professionalism.
- Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Maintain an organized filing system, both physical and digital, ensuring easy retrieval of documents.
- Handle incoming and outgoing communications, including phone calls, emails, and postal mail, directing them to the appropriate personnel.
- Oversee office supply inventory, placing orders as needed and ensuring cost-effective purchasing.
- Assist in the preparation of reports, financial data, and other administrative tasks as assigned by management.
- Coordinate internal and external events, workshops, and meetings, including logistical arrangements and material preparation.
- Process invoices, expense reports, and other financial documents in compliance with company policies.
- Provide general administrative support to various departments and team members as required.
Required Skills
- Proven experience as an Administrative Assistant or in a similar administrative role (minimum 2 years).
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Excellent written and verbal communication skills in English and Kinyarwanda.
- Strong organizational and planning skills with meticulous attention to detail.
- Ability to prioritize tasks and manage time effectively in a dynamic environment.
- High level of discretion and confidentiality when handling sensitive information.
- Exceptional interpersonal skills and a professional demeanor.
Preferred Qualifications
- A diploma or degree in Business Administration, Office Management, or a related field.
- Experience working within the banking or financial services sector.
- Familiarity with office management systems and procedures.
- Problem-solving aptitude with a proactive and innovative approach.
