Key Responsibilities

  • Assist Project Managers in developing, maintaining, and tracking project schedules using various scheduling tools.
  • Monitor project progress, identify potential delays, and communicate status updates to relevant stakeholders.
  • Coordinate with team members and external vendors to gather necessary information for schedule adjustments.
  • Prepare and distribute regular project reports, including schedule performance and variance analysis.
  • Maintain comprehensive project documentation, ensuring all schedule-related records are accurate and up-to-date.
  • Support resource allocation planning and track resource availability to optimize project timelines.
  • Facilitate scheduling meetings, prepare agendas, and document meeting minutes and action items.
  • Proactively identify and escalate scheduling conflicts or risks to Project Managers for timely resolution.

Required Skills

  • Minimum 1-2 years of experience in an administrative or project coordination role.
  • Proficiency in project scheduling software (e.g., Microsoft Project, Asana, Trello) or strong aptitude to learn quickly.
  • Excellent organizational and time management skills with a strong attention to detail.
  • Solid understanding of basic project management principles and methodologies.
  • Exceptional verbal and written communication skills.
  • Ability to work effectively both independently and as part of a collaborative team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Preferred Qualifications

  • Post-secondary education in Project Management, Business Administration, or a related field.
