Key Responsibilities
- Manage incoming and outgoing mail, emails, and phone calls, directing them to the appropriate personnel.
- Maintain accurate and organized filing systems (both physical and digital) for important documents, records, and client information.
- Prepare, compile, and sort documents for data entry and processing, ensuring accuracy and completeness.
- Assist with the preparation of reports, presentations, and other official documents as required by management.
- Operate and maintain office equipment such as photocopiers, scanners, and printers, troubleshooting minor issues.
- Order and maintain inventory of office supplies, ensuring adequate stock levels and efficient usage.
- Provide general administrative support to various departments and staff members as needed, fostering a collaborative environment.
- Greet visitors and clients warmly, directing them appropriately and ensuring a positive first impression of the branch.
- Assist in scheduling appointments, managing calendars, and coordinating meetings for staff.
- Adhere strictly to all company policies, procedures, and data confidentiality guidelines, maintaining high ethical standards.
Required Skills
- Proven experience as an Office Clerk or in a similar administrative role (at least 1 year).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills in English and Sesotho.
- Exceptional attention to detail and accuracy in all administrative work.
