As a Project Site Assistant, you will be the backbone of daily operations, ensuring that everything from documentation to material coordination runs seamlessly. Key Responsibilities
- Provide comprehensive administrative support to the Project Manager and on-site team, including scheduling, correspondence, and report generation.
- Maintain and organize project documentation, files, and records, ensuring easy accessibility and compliance with company standards.
- Assist with procurement processes, including requesting quotes, preparing purchase orders, and tracking material deliveries.
- Coordinate logistical arrangements for site personnel, visitors, and deliveries, ensuring timely and efficient operations.
- Monitor inventory of office supplies and project materials, placing orders as needed to prevent shortages.
- Assist in the preparation of daily, weekly, and monthly progress reports, compiling data and updating project tracking systems.
- Facilitate communication between the project site, head office, and external stakeholders.
- Support site safety initiatives by assisting with record-keeping for safety briefings, equipment checks, and incident reports.
- Manage incoming and outgoing communications, including phone calls, emails, and physical mail.
- Assist in the onboarding process for new site personnel, including paperwork and orientation.
- Perform general office duties to ensure the project site office runs efficiently.
Required Skills
- Proven experience in an administrative or assistant role, preferably in a project or site environment.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills in English.
- High level of attention to detail and accuracy.
