Job Description
We are seeking a highly motivated and detail-oriented Online Documentation Specialist to join our dynamic team remotely, with a strong preference for candidates based in the McKinney, Texas area for occasional in-person collaboration or equipment pick-up. In this critical role, you will be responsible for creating, maintaining, and enhancing a wide range of online documentation for our complex medical devices and software solutions. This includes, but is not limited to, user manuals, quick reference guides, help files, knowledge base articles, FAQs, and release notes, all optimized for digital consumption and searchability. You will work closely with product development, engineering, quality assurance, marketing, and customer support teams to gather information, understand product functionality, and translate technical specifications into clear, concise, and user-friendly online content. The ideal candidate will possess exceptional writing, editing, and communication skills, a strong understanding of information architecture, and experience with various content management systems and documentation tools. This role requires someone who can thrive in a fast-paced environment, manage multiple projects simultaneously, and consistently deliver high-quality content that empowers our users and supports our commitment to excellence in medical technology.
Key Responsibilities
- Develop, write, and edit clear, concise, and accurate online documentation including user manuals, help files, knowledge base articles, FAQs, and technical specifications.
- Collaborate with subject matter experts (SMEs), product managers, engineers, and quality assurance teams to gather and verify technical information.
- Ensure all documentation adheres to established brand guidelines, style guides, and regulatory requirements (e.g., medical device documentation standards).
- Manage documentation through its entire lifecycle, from initial draft to final publication and ongoing maintenance.
- Optimize online content for search engines (SEO) and user experience, ensuring easy navigation and discoverability.
- Utilize content management systems (CMS) and authoring tools to publish and update documentation efficiently.
- Incorporate feedback from users, customer support, and internal stakeholders to continuously improve documentation quality and effectiveness.
- Conduct thorough reviews and edits for grammar, spelling, punctuation, style, and technical accuracy.
- Stay current with industry best practices for online documentation, technical writing, and content delivery.
- Assist in the development and maintenance of documentation templates and style guides.
Required Skills
- Proven experience as an Online Documentation Specialist, Technical Writer, or similar role.
- Excellent written and verbal communication skills with an ability to simplify complex technical information.
- Proficiency with content management systems (CMS) and documentation authoring tools (e.g., MadCap Flare, Adobe RoboHelp, Paligo, Confluence).
- Strong understanding of information architecture, content structuring, and online user experience principles.
- Experience with image capture and editing tools (e.g., Snagit, Adobe Photoshop).
- Familiarity with style guides (e.g., Chicago Manual of Style, Microsoft Manual of Style).
- Ability to work independently and collaboratively in a remote team environment.
- Exceptional attention to detail and organizational skills.
Preferred Qualifications
- Bachelor’s degree in Technical Communication, English, Journalism, Computer Science, or a related field.
- Experience working in the medical device, healthcare, or other regulated industries.
- Knowledge of DITA, XML, or other structured authoring methodologies.
- Familiarity with version control systems (e.g., Git).
- Experience creating multimedia content (e.g., video tutorials, animated GIFs) for online documentation.
- Understanding of SEO best practices for technical content.
