Key Responsibilities
- Assist trainers and facilitators with the setup and teardown of training rooms, including arranging furniture, equipment, and learning materials.
- Provide administrative support for training programs, such as managing registration, attendance records, scheduling, and communication with participants.
- Support participants during training sessions by answering basic inquiries, providing guidance, and troubleshooting minor technical issues.
- Prepare and organize training materials, handouts, presentations, and other resources as directed by program facilitators.
- Maintain an organized and tidy learning environment, ensuring all supplies are readily available.
- Collect and compile participant feedback and evaluations to contribute to program improvement.
- Act as a welcoming first point of contact for program participants, ensuring a positive and inclusive experience.
- Coordinate with internal departments to ensure all necessary resources and support are in place for program delivery.
- Assist with data entry and reporting related to program metrics and outcomes.
- Uphold YMCA values and standards in all interactions and activities.
Required Skills
- High School Diploma or equivalent.
- Minimum 1 year of experience in an administrative support or customer service role.
- Excellent organizational and time management skills with a keen eye for detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
- Ability to work independently with minimal supervision and as part of a collaborative team.
- Reliable, punctual, and adaptable to changing program needs and schedules.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
Preferred Qualifications
- Post-secondary education in a related field (e.g., Education, Social Sciences, Business Administration).
- Experience working in a non-profit or community service organization.
- Familiarity with learning management systems (LMS) or virtual meeting platforms.
- First Aid and CPR certification.
- Experience working with diverse community groups and age ranges.
