Key Responsibilities
- Assist Project Managers with project planning, scheduling, and execution, ensuring alignment with project goals and timelines.
- Manage and organize all project documentation, including contracts, blueprints, specifications, reports, permits, and correspondence, maintaining a structured and accessible filing system.
- Monitor project progress meticulously, identify potential deviations or delays, and proactively communicate comprehensive updates to all relevant internal and external stakeholders.
- Coordinate the efficient allocation of resources, including labor, materials, and equipment, in close collaboration with site superintendents and procurement teams to optimize operational flow.
- Prepare and distribute accurate project meeting minutes, agendas, status reports, and other project-related communications to ensure clarity and accountability.
- Track project budgets diligently, process invoices, reconcile expenses, and assist with financial forecasting to maintain fiscal control.
- Facilitate seamless and effective communication channels between project teams, clients, subcontractors, suppliers, and regulatory bodies.
- Support the procurement process from initial requisition to final delivery, including obtaining competitive quotes, negotiating terms, and issuing precise purchase orders.
- Ensure strict compliance with all applicable safety regulations, environmental standards, and quality control protocols on all project sites.
- Assist in the thorough preparation of project close-out documents, final reports, and lessons learned summaries for continuous improvement.
Required Skills
- Minimum 3 years of progressive experience in a project coordination, administrative, or similar support role within the construction industry.
- Proven proficiency in industry-standard project management software (e.g., MS Project, Asana, Procore, Jira, Primavera P6).
- Exceptional organizational skills, a meticulous attention to detail, and a commitment to accuracy in all tasks.
- Excellent written and verbal communication skills in both English and German (minimum B2 level proficiency required).
- Solid ability to read, interpret, and understand complex construction drawings, specifications, and technical documents.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for reporting and data management.
- Demonstrated ability to efficiently manage multiple priorities and tasks, thrive under pressure, and meet tight deadlines in a dynamic environment.

- Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or a closely related field.
