Job Description

Placer SPCA is seeking a dedicated and enthusiastic Remote Volunteer Coordinator to join our compassionate team. As our Remote Volunteer Coordinator, you will be responsible for the full lifecycle of volunteer engagement, from initial recruitment and onboarding to ongoing support, recognition, and retention, all managed effectively from your home office. This role demands a proactive individual with a keen eye for detail, a warm and engaging communication style, and a strong commitment to the Placer SPCA mission. You will leverage various digital tools and platforms to reach potential volunteers, conduct virtual orientations, manage schedules, and foster a sense of community among our diverse volunteer base.
You will act as the primary point of contact for our volunteers, addressing their inquiries, providing guidance, and ensuring they feel valued and supported in their roles. This position requires a creative problem-solver who can adapt to changing needs, develop innovative strategies for volunteer engagement, and help us expand our reach within the Placer County community and beyond. Beyond the day-to-day coordination, you will play a key role in developing and implementing volunteer policies and procedures, ensuring compliance with organizational standards and best practices in volunteer management. You’ll work closely with various department leads to identify volunteer needs, create clear role descriptions, and match volunteers with opportunities that align with their skills and interests, from animal care and enrichment to administrative tasks, event support, and community outreach. Data management will also be a core component, as you’ll utilize our volunteer management system to track hours, volunteer profiles, training completions, and generate reports that inform our program’s growth and impact. Key Responsibilities
- Recruit, interview, and onboard new volunteers, including conducting virtual orientations and background checks.
- Develop and maintain volunteer schedules, ensuring adequate staffing for various programs and events.
- Act as the primary point of contact for volunteers, addressing questions, concerns, and providing ongoing support.
- Provide recognition and appreciation to volunteers to foster a positive and engaging experience.
- Utilize and maintain the volunteer management system (e.g., Volgistics) for data entry, tracking volunteer hours, profiles, and reporting.
- Collaborate with internal departments to identify volunteer needs, create clear role descriptions, and match volunteers with appropriate opportunities.
- Develop, implement, and update volunteer policies and procedures in accordance with organizational guidelines and best practices.
- Organize and execute volunteer appreciation events and initiatives, both virtual and occasional in-person.
- Assist in developing marketing materials and strategies to attract and retain a diverse volunteer pool.
- Monitor and evaluate volunteer program effectiveness, making recommendations for continuous improvement and growth.
Required Skills
- Proven experience in volunteer coordination or program management (minimum 2 years).
- Exceptional written and verbal communication skills, suitable for remote interactions.
- Strong organizational and time management abilities, with meticulous attention to detail.
- Proficiency in using volunteer management software, CRM systems, or similar databases.
- Comfort and proficiency with remote work tools (e.g., video conferencing, cloud-based collaboration platforms).
- Ability to work independently, prioritize tasks effectively, and manage a flexible schedule.
- Empathetic, patient, and strong interpersonal skills with a commitment to building community.
- High level of initiative, problem-solving capabilities, and adaptability.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
