Key Responsibilities
- Manage and maintain electronic medical records (EMRs) with accuracy and strict confidentiality.
- Schedule and confirm patient appointments, consultations, and follow-ups using online systems.
- Handle incoming calls, emails, and faxes, directing inquiries appropriately and providing excellent customer service.
- Process patient registrations, update demographic and insurance information.
- Assist with billing inquiries, claim submissions, and payment processing.
- Prepare and distribute patient correspondence, including appointment reminders and referral letters.
- Coordinate virtual meetings and conferences, including scheduling and technical setup.
- Support clinicians with administrative tasks, report generation, and data entry.
- Ensure compliance with all privacy regulations (e.g., PHIPA, PIPEDA) and company policies.
- Order and manage virtual office supplies as needed, maintaining inventory.
- Collaborate effectively with remote team members and various healthcare professionals.
Required Skills
- Minimum 2 years of experience in a clinical administrative or medical office role.
- Proficiency with Electronic Medical Records (EMR) systems.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and manage multiple tasks in a remote environment.
- Demonstrated understanding of patient confidentiality and privacy regulations (e.g., PHIPA).
- Reliable high-speed internet connection and a dedicated home office space.
- Excellent problem-solving skills and attention to detail.
Preferred Qualifications
- Post-secondary education in Medical Office Administration or a related field.
- Experience with specific EMR platforms like Telus Health PS Suite, Accuro, or Oscar EMR.
- Knowledge of medical terminology and billing procedures (e.g., OHIP).
