Job Description

Apex Systems is seeking a dedicated and proactive Remote Onboarding Specialist to join our dynamic Human Resources team. In this fully remote role, you will be the welcoming face and primary point of contact for our newly hired consultants and internal employees, ensuring they have an outstanding onboarding experience from the moment they accept an offer. You will be responsible for coordinating all aspects of the onboarding journey, from initial paperwork and background checks to systems access and benefit enrollment, all within a virtual environment. Key Responsibilities

  • Manage the entire onboarding lifecycle for new hires, including consultants and internal employees, from offer acceptance through their first 90 days.
  • Act as the primary point of contact for new hires, providing timely communication and support throughout the pre-boarding and onboarding phases.
  • Coordinate and track all necessary new hire paperwork, ensuring compliance with federal, state, and company regulations.
  • Initiate and monitor background checks, drug screenings, and I-9 verification processes, escalating issues as needed.
  • Facilitate the setup of necessary IT equipment, software access, and company accounts for remote employees.
  • Conduct virtual orientation sessions, providing a comprehensive overview of company policies, culture, benefits, and resources.
  • Collaborate closely with HR Business Partners, IT, Payroll, and Hiring Managers to ensure a smooth and coordinated onboarding experience.
  • Maintain accurate and up-to-date new hire records in HRIS (Human Resources Information System) and other relevant systems.
  • Develop and continuously improve onboarding materials, checklists, and processes to enhance efficiency and new hire satisfaction.
  • Proactively identify and address potential challenges or roadblocks in the onboarding process, offering solutions and support.
  • Gather feedback from new hires and stakeholders to refine and optimize the onboarding program.
  • Contribute to a positive and inclusive remote work culture, embodying Apex Systems' values.

Required Skills

  • Minimum of 2 years of experience in an HR coordination, onboarding, or administrative support role.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Exceptional written and verbal communication skills, particularly for remote interactions.
  • High level of proficiency with HRIS systems (e.g., Workday, Oracle HCM, SAP SuccessFactors) and Applicant Tracking Systems (ATS).
  • Strong technical aptitude and comfort with virtual communication tools (e.g., Zoom, Microsoft Teams, Slack).
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to work independently and as part of a remote team.
  • Demonstrated commitment to confidentiality and data privacy.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience with remote onboarding programs and best practices.
  • Familiarity with employment law and compliance regulations.
