Key Responsibilities
- Greet and welcome visitors, clients, and staff with a professional and friendly attitude, directing them to the appropriate individuals or departments.
- Answer, screen, and forward incoming phone calls promptly and courteously, taking messages as needed.
- Manage and maintain the reception area, ensuring it remains tidy, organized, and presentable at all times.
- Receive, sort, and distribute daily mail, packages, and deliveries efficiently.
- Schedule and confirm appointments, meetings, and interviews, managing calendars effectively.
- Provide accurate and relevant information to callers and visitors in person, via phone, or email.
- Perform general administrative tasks including filing, photocopying, scanning, and data entry.
- Assist with the preparation of documents, presentations, and reports as requested.
- Monitor and manage office supply inventory, placing orders when necessary to ensure adequate stock levels.
- Handle various inquiries and resolve minor issues independently, escalating complex matters to the relevant personnel.
- Maintain office security by following established procedures, monitoring visitor logs, and issuing visitor badges.
- Support the team with various ad-hoc administrative duties to ensure smooth office operations.
Required Skills
- Proven work experience as a Front Desk Receptionist, Office Assistant, or in a similar administrative role.
