Key Responsibilities

  • Assist in the scheduling and dispatching of chauffeurs for client bookings, managing real-time adjustments as needed.
  • Communicate effectively with clients to confirm bookings, address inquiries, and ensure their specific preferences are met.
  • Coordinate with vehicle maintenance providers to ensure the fleet is immaculately presented and mechanically sound for all assignments.
  • Prepare trip itineraries, including route planning, traffic monitoring, and special instructions for chauffeurs.
  • Manage administrative tasks such as booking confirmations, expense tracking, and record keeping for services rendered.
  • Monitor chauffeur punctuality and adherence to service standards, providing support as necessary to overcome logistical challenges.
  • Handle client feedback and resolve any service-related issues promptly and professionally to maintain high satisfaction levels.
  • Assist in maintaining inventory of vehicle amenities and ensuring all vehicles are stocked appropriately for client comfort.

Required Skills

  • Minimum 1 year of experience in a support or administrative role, preferably within hospitality, transportation, or luxury service.
  • Exceptional organizational and time management skills with the ability to multitask effectively.
  • Strong verbal and written communication skills in English.
  • Proficiency in using scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to work independently and as part of a team.
  • Valid Class 5 driver's license with a clean driving record.
  • Customer service-oriented mindset with a keen eye for detail.

Preferred Qualifications

  • Post-secondary education in hospitality management, business administration, or a related field.
