Career.zycto is actively seeking a meticulous and highly skilled IT Workflow Documentation Specialist to join our growing team in Guildwood, Toronto. In this critical role, you will be instrumental in mapping, analyzing, and documenting our complex IT systems, processes, and workflows. Your expertise will bridge the gap between technical operations and clear, understandable documentation, ensuring consistency, efficiency, and knowledge transfer across the organization. You will be responsible for creating and maintaining comprehensive documentation, including process flowcharts, standard operating procedures (SOPs), technical manuals, user guides, system configurations, and troubleshooting guides. This documentation will serve as a vital resource for various stakeholders, from technical support teams and new hires to project managers and compliance officers. You will collaborate closely with IT engineers, developers, system administrators, and business analysts to gather information, conduct interviews, and translate intricate technical details into precise, accessible content.

Key Responsibilities

  • Conduct in-depth interviews with IT teams and subject matter experts to gather information on current IT systems, processes, and workflows.
  • Map and analyze existing IT processes, identifying bottlenecks, inefficiencies, and areas for improvement.
  • Create, write, and edit clear, concise, and accurate technical documentation, including SOPs, user manuals, system configurations, network diagrams, and incident response procedures.
  • Develop and maintain a structured documentation library, ensuring all documents are version-controlled, easily searchable, and up-to-date.
  • Collaborate with various departments to ensure documentation meets their specific needs and aligns with organizational standards.
  • Ensure all documentation adheres to established company guidelines, style guides, and regulatory compliance requirements.
  • Train and support IT staff on new documentation standards and tools as required.
  • Periodically review and update existing documentation to reflect changes in systems, processes, and technology.

Required Skills

  • Exceptional written and verbal communication skills in English.
  • Proven experience in technical writing and documentation for IT systems and processes.
  • Strong analytical and problem-solving abilities to understand complex technical information.
  • Proficiency with documentation tools (e.g., Microsoft Word, Visio, Confluence, SharePoint).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent attention to detail and organizational skills.
  • Solid understanding of IT concepts, infrastructure, and operations.

Preferred Qualifications

  • Bachelor's degree in Computer Science, Information Technology, Technical Writing, or a related field.
  • Certification in technical writing (e.g., CPTC) or IT service management (e.g., ITIL Foundation).
  • Experience with diagramming tools such as Lucidchart or draw.io.
  • Familiarity with Agile development methodologies and Jira.
  • Experience working in a regulated industry with strict documentation requirements.
