Job Description

Career.zycto is seeking a highly organized, compassionate, and proactive Clinic Assistant Support Staff to join our growing team in Broadmoor, Richmond. This pivotal role involves being the first point of contact for our patients, ensuring a welcoming and efficient experience from arrival to departure. Key Responsibilities

  • Greet and check-in patients warmly, verifying appointments and updating demographic and insurance information.
  • Schedule and confirm patient appointments, managing clinic calendars efficiently to optimize patient flow.
  • Answer multi-line phones, address patient inquiries, and direct calls to appropriate staff members.
  • Process patient payments, manage billing inquiries, and maintain accurate financial records.
  • Maintain patient records with utmost confidentiality and accuracy, both electronic and physical.
  • Prepare examination rooms, ensuring they are clean, stocked, and ready for patient use.
  • Assist medical staff with minor procedures or patient preparations as needed, under direct supervision.
  • Manage incoming and outgoing faxes, emails, and mail, distributing them to relevant personnel.
  • Order and maintain clinic supplies, ensuring adequate stock levels are always available.
  • Coordinate referrals to specialists and external diagnostic services.
  • Ensure the waiting area remains tidy and welcoming for all patients.
  • Assist with other administrative tasks and special projects as assigned to support clinic operations.

Required Skills

  • Minimum 1 year of experience in a medical office, clinic, or similar healthcare administrative role.
  • Proficiency in medical office software (e.g., EMR systems) and Microsoft Office Suite.
  • Excellent verbal and written communication skills in English.
  • Strong organizational abilities and attention to detail.
  • Ability to multitask and prioritize in a busy environment.
  • Exceptional interpersonal skills and a patient-first attitude.
  • Demonstrated ability to maintain patient confidentiality (PIPEDA/FOIPPA knowledge an asset).

Preferred Qualifications

  • Medical Office Assistant (MOA) diploma or certificate from an accredited institution.
  • Experience with specific EMR systems used in British Columbia (e.g., Oscar, Intrahealth Profile).
  • First Aid and CPR certification.
  • Knowledge of medical terminology and billing practices (e.g., MSP billing).
