Key Responsibilities

  • Provide comprehensive administrative support to assigned senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements (when necessary).
  • Manage and prioritize email correspondence, drafting responses and flagging urgent matters for executive attention.
  • Prepare and edit professional documents, presentations, spreadsheets, and reports with meticulous attention to detail.
  • Organize and maintain digital filing systems, ensuring easy retrieval of critical information and adherence to data governance policies.
  • Coordinate and facilitate virtual meetings, including setting up technology, preparing agendas, distributing materials, and accurately taking and distributing minutes.
  • Conduct thorough research and compile data to support executive decision-making processes and strategic planning.
  • Handle confidential information with the highest level of discretion and integrity, adhering strictly to privacy protocols.
  • Assist with special projects and initiatives as assigned, ensuring timely completion and contributing to project success.
  • Act as a primary point of contact for internal and external stakeholders, exercising professional judgment and fostering positive relationships.
  • Manage expense reports and process invoices in compliance with company policies and financial regulations.

Required Skills

  • Minimum 3-5 years of experience as an Executive Assistant or similar senior administrative role, preferably supporting C-level executives.
  • Proven proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other essential productivity tools.
  • Exceptional organizational and time management skills with the ability to multitask, prioritize effectively, and meet deadlines in a remote setting.
  • Superior written and verbal communication skills in English, with a strong command of grammar and professional etiquette.
  • High level of discretion and ability to handle sensitive and confidential information with unwavering sensitivity and trustworthiness.
  • Strong problem-solving abilities and a proactive, resourceful approach to task management and issue resolution.
