Lebowakgomo Lifestyle Lodge is seeking an enthusiastic and experienced Full-Time Event Coordinator specializing in Wedding and Corporate Events to join our vibrant team. This pivotal role involves overseeing all aspects of event planning and execution, from the initial client consultation to post-event follow-up. You will be the central point of contact for our esteemed clients, guiding them through every decision to bring their unique vision to life, whether it’s a meticulously planned dream wedding, a high-impact corporate seminar, or an elegant gala dinner. As an Event Coordinator, you will be responsible for comprehensively understanding client needs, translating their aspirations into actionable plans, and proposing suitable packages that align with their budget and objectives. This involves detailed budget management, contract negotiation, and meticulous coordination with various internal departments, including our award-winning catering team, accommodation services, maintenance, and front desk. Furthermore, you will expertly liaise with a network of trusted external vendors, from florists and photographers to entertainment providers and decor specialists, ensuring seamless integration of all services.
A critical part of your role will involve conducting engaging site visits, preparing bespoke proposals, and drafting comprehensive contracts that clearly outline deliverables and expectations. On the day of the event, you will be the calm and confident leader, ensuring all logistical elements are meticulously planned, set up, and executed according to schedule. You will be on-site to oversee the entire event, proactively addressing any unforeseen challenges with creative problem-solving and grace. Key Responsibilities
- Serve as the primary point of contact for clients planning weddings and corporate events.
- Conduct initial consultations to understand client needs, preferences, and budget.
- Develop detailed event proposals, contracts, and timelines.
- Manage event budgets, ensuring profitability and cost-effectiveness.
- Coordinate with internal departments (catering, accommodation, operations) to ensure seamless service delivery.
- Source, negotiate with, and manage external vendors (florists, photographers, DJs, decorators, etc.).
- Arrange and conduct site visits and venue walkthroughs with clients and vendors.
- Oversee event setup, execution, and breakdown, ensuring all details align with client expectations.
- Provide on-site support and management during events, handling any issues promptly and professionally.
- Conduct post-event evaluations and gather client feedback for continuous improvement.
- Maintain up-to-date knowledge of event trends, technologies, and best practices.
Required Skills
- Minimum 3 years of proven experience in event coordination, specifically with weddings and corporate events.
