Key Responsibilities

  • Warmly greet clients and their pets upon arrival, creating a welcoming and calm environment.
  • Efficiently manage the appointment schedule, including booking, confirming, and rescheduling.
  • Answer incoming phone calls, emails, and in-person inquiries with professionalism and empathy.
  • Process client payments, handle billing, and manage end-of-day financial reconciliation.
  • Maintain accurate and confidential patient records, ensuring all details are current.
  • Prepare client examination rooms and ensure the waiting area remains clean, tidy, and inviting.
  • Assist veterinarians and veterinary nurses with administrative tasks as required.
  • Manage incoming and outgoing mail, deliveries, and clinic correspondence.
  • Educate clients on basic pet care products, services, and preventive health measures.
  • Oversee inventory of office supplies and client-facing materials, placing orders as needed.

Required Skills

  • Excellent verbal and written communication skills in German.
  • Proven organizational and multitasking abilities in a fast-paced environment.
  • Strong proficiency with standard office software (e.g., Microsoft Office Suite).
