Job Description
We are seeking a highly organized, professional, and customer-focused Front Desk Executive to be the welcoming face and voice of Emtel at our Sainte Helene, Curepipe office. This pivotal role is ideal for an individual who thrives in a fast-paced environment and possesses exceptional interpersonal skills. As the first point of contact for visitors and a crucial support for internal helpdesk inquiries, you will play a vital role in creating a positive and lasting impression of our company. Your day-to-day will involve managing reception duties, including greeting and directing guests, handling incoming calls, and providing administrative support. Beyond traditional front desk tasks, you will also be the initial point of contact for basic helpdesk questions, guiding employees and clients to the appropriate departments or resources. This position requires a proactive individual with a keen eye for detail, a commitment to excellent service, and the ability to multitask effectively while maintaining a calm and professional demeanor. You will be instrumental in ensuring smooth office operations and contributing to a positive and efficient workplace culture.
Key Responsibilities
- Warmly greet and welcome all visitors, clients, and prospective employees, ensuring a professional and hospitable first impression.
- Manage the main switchboard, answering and directing incoming calls promptly and courteously.
- Maintain the reception area, ensuring it is tidy, presentable, and reflective of Emtel's professional image at all times.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring proper distribution and collection.
- Assist with scheduling appointments, managing meeting room bookings, and coordinating logistical details for various events.
- Provide initial support for basic internal helpdesk queries, directing staff to relevant IT or administrative personnel.
- Maintain visitor logs and security protocols, issuing visitor badges and ensuring compliance with company policies.
- Assist with general administrative tasks, including data entry, filing, scanning, and preparing basic correspondence.
- Support the office team with various ad-hoc projects and assignments as required.
- Manage office supplies inventory for the reception area and common spaces, placing orders when necessary.
Required Skills
- Excellent verbal and written communication skills in English and French (Creole an advantage).
- Proven experience in a customer service or front desk role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional organizational and multitasking abilities.
- Strong interpersonal skills with a friendly and professional demeanor.
- Ability to handle confidential information with discretion.
- Problem-solving skills and a proactive approach to challenges.
Preferred Qualifications
