Job Description

Career.zycto is seeking a highly organized, detail-oriented, and experienced Records Manager to join our team in Hamburg. This critical role is responsible for the systematic control of the creation, receipt, maintenance, use, and disposition of records, including processes for capturing and maintaining evidence of and information about business activities and transactions in the form of records. The successful candidate will play a pivotal role in ensuring compliance with legal, regulatory, and internal policy requirements concerning records management, data protection, and information security. You will be instrumental in developing and implementing comprehensive records management policies, procedures, and systems across the organization, guiding departments on best practices for record-keeping, and driving the transition towards more efficient digital record management solutions. This position requires a proactive individual with a deep understanding of records lifecycle management, information governance principles, and an unwavering commitment to data integrity and accessibility. You will be the guardian of our corporate memory, ensuring that vital information is managed effectively from creation to archival or destruction, supporting our operational efficiency and strategic objectives.

Key Responsibilities

  • Develop, implement, and maintain comprehensive records management policies, procedures, and retention schedules in accordance with legal, regulatory, and internal requirements.
  • Oversee the entire lifecycle of physical and electronic records, from creation and active use to storage, archival, and ultimate disposition.
  • Manage the secure storage and retrieval systems for both physical and digital records, ensuring data integrity, confidentiality, and accessibility.
  • Provide expert advice and training to staff on records management best practices, legal obligations, and system usage.
  • Lead initiatives for the digital transformation of records management, including the implementation and optimization of Electronic Document and Records Management Systems (EDRMS).
  • Conduct regular audits and assessments of records management practices to ensure compliance and identify areas for improvement.
  • Collaborate with IT, Legal, Compliance, and other departments to integrate records management strategies with broader information governance initiatives.
  • Manage the timely and secure destruction of records in accordance with approved retention schedules and legal mandates.
  • Prepare reports and presentations on records management activities, compliance status, and system performance.
  • Stay abreast of industry trends, technological advancements, and changes in legislation pertaining to records management and data privacy.

Required Skills

  • Bachelor’s degree in Library Science, Information Management, Archival Studies, or a related field.
  • Minimum of 3 years of progressive experience in records management, information governance, or a similar role.
  • Strong understanding of records management principles, best practices, and international standards (e.g., ISO 15489).
  • Proficiency with Electronic Document and Records Management Systems (EDRMS) and other relevant software.
  • In-depth knowledge of data protection regulations (e.g., GDPR) and local legal requirements for record retention.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong communication, interpersonal, and training skills.
  • Ability to work independently and as part of a cross-functional team.
  • Fluency in English (written and spoken).

Preferred Qualifications

  • Master’s degree in a relevant field.
  • Certification in Records Management (e.g., CRM) or Information Governance.
  • Experience with specific EDRMS platforms relevant to the industry.
  • Project management experience, particularly in system implementation or policy development.
  • Proficiency in German is a significant advantage, given the location.
