Career.zycto is seeking a highly organized, professional, and welcoming Administrative Receptionist to join our vibrant team in Downtown Los Angeles. This on-site office role is crucial for creating an outstanding first impression for our clients, candidates, and visitors, while also providing essential administrative support to ensure the smooth and efficient operation of our bustling recruitment office. You will manage a diverse range of responsibilities, from greeting guests and managing communications to supporting various departments with critical administrative tasks. Key Responsibilities

  • Greet and welcome clients, candidates, and visitors with a professional and friendly demeanor.
  • Manage incoming calls, directing them to the appropriate personnel or taking accurate messages.
  • Oversee the reception area, ensuring it remains tidy, organized, and presentable.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with general administrative tasks, including data entry, filing, scanning, and photocopying.
  • Maintain office supplies inventory, placing orders as needed.
  • Support various departments with ad-hoc projects and assignments.
  • Act as a liaison between internal staff and external contacts.
  • Uphold confidentiality and handle sensitive information with discretion.

Required Skills

  • Proven experience as a Receptionist, Administrative Assistant, or similar role (18+ months).
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Professional appearance and demeanor.
  • Ability to be resourceful and proactive when issues arise.
