Key Responsibilities

  • Coordinate project schedules, resources, and information, ensuring all deadlines are met efficiently.
  • Act as the primary point of contact for project team members and external stakeholders regarding administrative matters.
  • Organize and maintain comprehensive project documentation, including reports, contracts, budgets, and invoices, ensuring accuracy and accessibility.
  • Facilitate internal and external communications, preparing and distributing project updates, presentations, and meeting minutes.
  • Assist in the preparation and monitoring of project budgets, tracking expenses and reconciling discrepancies.
  • Schedule and organize project-related meetings, ensuring all necessary materials are prepared and distributed in advance.
  • Support Project Managers in risk management, issue tracking, and resolution processes.
  • Onboard new project team members by providing necessary resources and information.
  • Implement and maintain efficient administrative systems to support ongoing project activities.
  • Contribute to the continuous improvement of project administration processes and tools.

Required Skills

  • Minimum of 3 years of experience in a Project Administrator, Project Coordinator, or similar administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Asana, Trello, Jira, Microsoft Project).
  • Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Strong verbal and written communication skills, with keen attention to detail.
  • Proven ability to work independently and as part of a team in a fast-paced corporate environment.
  • Excellent problem-solving abilities and a proactive approach to anticipating needs.
  • Demonstrated ability to handle confidential information with discretion.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Project Management, or a related field.
