Key Responsibilities

  • Process and manage trade-related documentation, including purchase orders, sales confirmations, shipping documents, and invoices.
  • Assist in the coordination of logistics for international shipments, liaising with freight forwarders, customs brokers, and warehouses.
  • Monitor and track shipment statuses, proactively communicating updates and potential delays to relevant stakeholders.
  • Maintain accurate records in our trading systems and databases, ensuring data integrity and timely input.
  • Support the trading team with daily administrative tasks, including scheduling, correspondence, and report generation.
  • Communicate effectively with suppliers, customers, and internal departments to resolve queries and ensure smooth operations.
  • Assist in preparing reports and presentations related to trade activities and market analysis.
  • Identify and escalate potential operational issues or compliance concerns to senior team members.
  • Contribute to continuous improvement initiatives within the trade operations department.

Required Skills

  • Proven experience in an administrative or support role, preferably within a commercial or logistics environment.
  • Excellent organizational and time management skills with the ability to prioritize multiple tasks.
  • High level of attention to detail and accuracy in data entry and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong written and verbal communication skills in English and German.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications
