Key Responsibilities

  • Greet and welcome visitors with a professional and friendly demeanor, directing them to the appropriate personnel or department.
  • Answer, screen, and forward incoming phone calls promptly and courteously, taking messages when necessary.
  • Manage and maintain the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary materials.
  • Receive, sort, and distribute daily mail, deliveries, and packages efficiently.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Provide general administrative and clerical support to various departments, including data entry, filing, and preparing documents.
  • Monitor and order office supplies, ensuring adequate stock levels are maintained.
  • Assist with basic IT troubleshooting or liaise with IT support for immediate resolution of minor issues.
  • Handle customer inquiries and provide accurate information, or escalate to relevant team members.
  • Maintain security by following procedures, monitoring the logbook, and issuing visitor badges.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities, with a keen eye for detail.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Professional attitude and appearance.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.

Preferred Qualifications
