Key Responsibilities
- Manage and maintain office supplies, equipment, and inventory, ensuring optimal stock levels and smooth operations.
- Coordinate internal and external meetings, including scheduling, preparing agendas, distributing minutes, and arranging refreshments.
- Handle all incoming and outgoing correspondence, including emails, mail, and phone calls, directing them to the appropriate personnel.
- Warmly welcome and assist visitors, clients, and candidates, ensuring a positive first impression of Career.zycto.
- Maintain accurate and up-to-date filing systems (both digital and physical) and manage critical company data with confidentiality.
- Assist with basic bookkeeping tasks, process expense reports, and support invoice management under supervision.
- Provide administrative support to HR functions, such as assisting with onboarding new employees and maintaining employee records.
- Ensure the office environment is consistently tidy, organized, and compliant with all relevant health and safety standards.
- Support the team with various administrative ad-hoc tasks and projects as needed to ensure operational efficiency.
Required Skills
- Proven experience (2+ years) as an Office Administrator, Office Assistant, or in a similar administrative role.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Outstanding organizational and time management skills with a demonstrated ability to prioritize and manage multiple tasks effectively.
- Strong verbal and written communication skills in both English and German (C1 level minimum).
