Career.zycto is seeking a highly organized, enthusiastic, and proactive Event Assistant for a temporary engagement based in our vibrant Trolley Square office. Key Responsibilities

  • Assist in the planning, coordination, and execution of various corporate events, workshops, and seminars from conception to completion.
  • Manage event registration processes, including attendee communication, database updates, and efficient check-in procedures.
  • Coordinate proactively with a diverse range of vendors (catering, AV, venue staff, photographers) to ensure timely delivery and setup of all services.
  • Prepare comprehensive event materials, such as presentations, personalized name badges, clear signage, and impactful promotional collateral.
  • Provide essential on-site logistical support during events, including meticulous room setup, attentive guest assistance, and swift troubleshooting of any issues.
  • Handle post-event activities, including distributing surveys, compiling feedback data, and assisting with detailed feedback analysis to drive continuous improvement.
  • Maintain accurate and organized records of event budgets, expenses, and vendor contracts to ensure financial transparency and accountability.
  • Conduct thorough research on potential venues, innovative suppliers, and fresh event concepts to enhance future offerings and keep our events cutting-edge.
  • Communicate effectively and proactively with internal teams and external stakeholders to ensure a smooth event flow and alignment with objectives.
  • Perform various administrative duties as required to efficiently support the events team and contribute to overall operational success.

Required Skills

  • Proven organizational and exceptional time management skills with the ability to prioritize and juggle multiple tasks simultaneously.
