Key Responsibilities
- Organize, file, and maintain all project-related documents, both physical and digital, ensuring easy accessibility and proper version control.
- Assist Project Managers in preparing, formatting, and distributing project reports, presentations, and other communication materials.
- Enter and update project data in various systems and databases with a high degree of accuracy.
- Support the scheduling and coordination of project meetings, including preparing agendas and recording minutes.
- Handle incoming and outgoing project correspondence, ensuring timely delivery and proper archiving.
- Conduct routine document audits to ensure compliance with company standards and regulatory requirements.
- Collaborate with internal teams to gather necessary documentation and information for ongoing projects.
- Learn and utilize project management software and document management systems effectively.
- Assist with general administrative tasks as required to support project team operations.
- Identify and suggest improvements to documentation processes to enhance efficiency and accuracy.
Required Skills
- High School Diploma or equivalent; post-secondary education in administration, business, or a related field is an asset.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
