Job Description

We are actively seeking a dedicated and compassionate Full-Time Reception Aide to join our administrative team at Clínica Central da Beira. This pivotal role serves as the first point of contact for our patients and visitors, making you an essential part of their healthcare journey. As a Reception Aide, you will be responsible for creating a warm, welcoming, and efficient environment in our reception area. Your daily duties will encompass a broad spectrum of administrative tasks, critical to the smooth operation of the clinic, including managing patient inquiries, scheduling appointments, handling communications, and maintaining patient records with the utmost confidentiality. Key Responsibilities

  • Warmly greet and welcome patients and visitors upon arrival, directing them appropriately.
  • Manage incoming calls, screening and forwarding them to the correct department or individual, and taking messages accurately.
  • Schedule, reschedule, and confirm patient appointments efficiently, ensuring optimal clinic flow.
  • Register new patients and update existing patient information, ensuring all data is accurate and complete.
  • Handle patient inquiries, provide general information about clinic services, and assist with form completion.
  • Maintain the cleanliness and organization of the reception area and waiting room.
  • Process basic administrative tasks, including filing, scanning, and data entry.
  • Assist with managing patient flow, alerting medical staff of patient arrivals and any potential delays.
  • Maintain strict patient confidentiality in accordance with clinic policies and healthcare regulations.
  • Collaborate effectively with medical staff and other administrative personnel to ensure seamless operations.
  • Handle incoming and outgoing mail and deliveries.

Required Skills

  • Excellent verbal and written communication skills in Portuguese
  • Strong interpersonal and customer service abilities
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite)
  • Exceptional organizational and multitasking capabilities

Preferred Qualifications

  • Ability to communicate in local languages such as Sena or Ndau is a distinct advantage
