Key Responsibilities

  • Warmly greet patients, manage check-ins and check-outs, and ensure a positive first impression.
  • Conduct preliminary tests and screenings, such as visual acuity, auto-refraction, and visual field testing, prior to the optometrist's examination.
  • Assist optometrists during examinations by accurately recording patient information, test results, and maintaining organized patient charts.
  • Educate patients on proper contact lens care, various eyewear options, and general eye health practices.
  • Manage appointment scheduling, patient records, and other administrative tasks efficiently using clinic software.
  • Maintain the cleanliness, sterilization, and organization of examination rooms and optical equipment.
  • Assist patients with frame selection, adjustments, minor repairs, and dispensing of eyewear.
  • Process insurance claims, handle billing inquiries, and manage payment collections.
  • Order and manage optical supplies and inventory, ensuring stock levels are maintained.
  • Provide exceptional customer service, addressing patient inquiries and concerns with professionalism and empathy.

Required Skills

  • Proficiency in German and English (B2 level or higher for effective patient communication).
  • Excellent communication and interpersonal skills, with a friendly and approachable demeanor.
  • Strong organizational abilities and meticulous attention to detail.
  • Ability to work effectively and calmly in a fast-paced healthcare environment.
  • Basic computer literacy and ability to quickly learn new scheduling and electronic health record (EHR) software.
  • A genuine empathetic and patient-first approach.
  • Ability to maintain strict patient confidentiality (adhering to GDPR and local privacy regulations).

Preferred Qualifications

  • Previous experience (at least 6 months) in an optical practice, medical office, or a customer service-intensive role.
  • Knowledge of basic optical terminology, eye anatomy, and common vision conditions.
  • Certification as an Ophthalmic Assistant or Optometric Technician is a plus, though not mandatory.
  • Familiarity with medical scheduling software and electronic health records (EHR) systems.
  • Experience with optical dispensing and frame adjustments.
