Working closely with our procurement, operations, and finance teams, you will be responsible for preparing, verifying, and filing a wide array of shipping-related paperwork. This includes commercial invoices, packing lists, bills of lading, customs declarations, and certificates of origin. Your expertise will help navigate the complexities of island logistics, ensuring that goods arrive efficiently and without undue delays or penalties. Key Responsibilities
- Prepare, examine, and process a full range of shipping documents, including bills of lading, commercial invoices, packing lists, customs declarations, and delivery orders.
- Verify the accuracy of shipping documents against cargo and supplier invoices.
- Maintain organized and accessible digital and physical filing systems for all shipping documentation.
- Communicate effectively with suppliers, freight forwarders, customs agents, and internal departments regarding shipment statuses and documentation requirements.
- Track and trace shipments, updating internal stakeholders on delivery schedules and potential delays.
- Ensure all shipping activities comply with local and international import/export regulations and company policies.
- Assist with resolving documentation discrepancies or issues that may arise during transit or customs clearance.
- Generate reports on shipping activities, costs, and lead times as required.
- Support the procurement team with administrative tasks related to inventory and supply chain management.
Required Skills
- Minimum 2 years of experience in a shipping, logistics, or administrative role with a focus on documentation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and accuracy in data entry and document preparation.
- Excellent organizational and time management skills, with the ability to work independently.
- Good understanding of basic import/export procedures and shipping terminology.
- Effective written and verbal communication skills in English.
- Ability to work flexible hours as per operational needs.
Preferred Qualifications
- Diploma or Certificate in Logistics, Supply Chain Management, Business Administration, or a related field.
- Experience working with ERP systems or specialized logistics software.
- Familiarity with Tanzanian customs regulations and shipping practices.
- Previous experience in the hospitality or tourism industry, especially in a remote location.
