Job Description

We are seeking a highly organized, efficient, and friendly Part-Time School Clerical Assistant to join our dedicated administrative team at Liberty Primary School. This vital role supports the day-to-day operations of our school office, ensuring smooth communication and efficient record-keeping. The ideal candidate will be the welcoming face and voice of our school, assisting students, parents, teachers, and visitors with professionalism and a positive attitude. You will be instrumental in managing administrative tasks, maintaining student records, handling correspondence, and providing crucial support to our teaching staff and school leadership. This position requires someone with excellent interpersonal skills, a keen eye for detail, and the ability to manage multiple tasks effectively in a dynamic educational environment. Key Responsibilities

  • Serve as the primary point of contact for students, parents, visitors, and staff, offering courteous and helpful assistance.
  • Manage incoming and outgoing communications, including phone calls, emails, and postal mail.
  • Maintain accurate and confidential student records, attendance reports, and school databases.
  • Assist with the preparation and distribution of school newsletters, notices, and other official correspondence.
  • Support teachers and administrative staff with photocopying, filing, data entry, and other clerical duties as needed.
  • Process school supplies orders and assist with inventory management.
  • Handle basic financial transactions, such as collecting fees and issuing receipts, under supervision.
  • Organize and schedule meetings, appointments, and school events.
  • Ensure the reception area and office space are tidy, organized, and welcoming.
  • Adhere strictly to school policies and procedures, especially regarding confidentiality and child safety.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and prioritize effectively in a busy environment.

Preferred Qualifications

  • Associate Degree or equivalent certification in Business Administration, Office Management, or a related field.
  • Previous experience (1+ year) in an administrative or clerical role, preferably within an educational setting.
  • Familiarity with school management software (e.g., RenWeb, PowerSchool).
  • Basic bookkeeping or accounting experience.
