Job Description

Career.zycto is seeking a highly skilled and passionate Event Planner to join our vibrant team in Merchant City, Glasgow. This is an exceptional opportunity for a creative and meticulous professional to manage a diverse portfolio of corporate and private events from conception to flawless execution. In this pivotal role, you will be responsible for the full lifecycle of event management. This includes initial client consultations to understand their needs and aspirations, developing innovative and comprehensive event proposals, meticulous budget management, and the crucial selection and negotiation with a range of vendors, from venues and caterers to audiovisual suppliers and entertainers. You will be the central point of contact, coordinating all moving parts to ensure a seamless and unforgettable experience for our clients and their guests.

Our events span a broad spectrum, including high-profile corporate conferences, product launches, gala dinners, team-building retreats, as well as intimate private celebrations such as milestone birthdays, anniversaries, and bespoke wedding receptions. Key Responsibilities

  • Conduct thorough client consultations to understand event objectives, scope, and budget for both corporate and private functions.
  • Develop innovative and tailored event concepts, proposals, and presentations that align with client visions and Career.zycto's standards.
  • Manage event budgets meticulously, tracking expenses, negotiating contracts with vendors, and ensuring cost-effectiveness without compromising quality.
  • Source, evaluate, and coordinate with a wide range of suppliers, including venues, caterers, florists, entertainment, photographers, and technical support.
  • Oversee all logistical aspects, including scheduling, attendee management, transportation, accommodation, and on-site setup and breakdown.
  • Develop detailed event timelines, production schedules, and floor plans, ensuring all stakeholders are informed and aligned.
  • Act as the primary point of contact for clients and vendors throughout the event planning process, providing regular updates and solutions.
  • Manage on-site event execution, troubleshooting any issues that arise promptly and professionally to ensure smooth operation.
  • Conduct post-event evaluations, gather feedback, and prepare comprehensive reports to assess success metrics and identify areas for improvement.
  • Stay abreast of industry trends, emerging technologies, and best practices in event management to continuously enhance service offerings.

Required Skills

  • Minimum 3 years of progressive experience in event planning and execution for corporate and/or private clients.
  • Exceptional organizational and project management skills with a strong ability to multitask and prioritize effectively.
  • Proven expertise in budget management, negotiation, and vendor relationship management.
  • Outstanding written and verbal communication skills, capable of engaging diverse stakeholders.
  • Proficiency in event management software (e.g., Cvent, Eventbrite) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Creative problem-solving abilities and a proactive approach to potential challenges.
  • High level of attention to detail and commitment to delivering impeccable quality.

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification such as CMP (Certified Meeting Professional) or equivalent.
  • Experience with CRM systems and event marketing strategies.
  • Established network of local Glasgow venues and reputable vendors.
  • A portfolio showcasing successful events managed from concept to completion.
