Career.zycto is seeking a talented freelance Event Planner specializing in both wedding and corporate events to join our network of top-tier professionals serving clients across Denbigh, May Pen, and wider Clarendon. As a freelance Event Planner, you will be the creative force and logistical mastermind behind a range of important occasions. From intimate weddings celebrating cherished unions to large-scale corporate conferences driving business objectives, your role will be pivotal in ensuring every detail is meticulously planned and flawlessly executed. You’ll work closely with clients to understand their specific needs, preferences, and budgets, developing innovative concepts that align with their vision. This position demands a keen eye for aesthetics, exceptional organizational skills, and the ability to navigate complex logistics with grace under pressure. You’ll be responsible for everything from initial consultations and concept development to vendor negotiation, timeline management, and on-site coordination. Key Responsibilities
- Conduct initial client consultations to understand event objectives, scope, budget, and preferences for both wedding and corporate events.
- Develop detailed event proposals, including creative concepts, themes, vendor recommendations, and comprehensive timelines.
- Create and meticulously manage event budgets, ensuring all expenditures remain within agreed-upon limits.
- Source, negotiate, and manage relationships with a wide array of vendors, including venues, caterers, decorators, entertainment, photographers, and transportation providers.
- Develop and oversee event timelines and logistics, ensuring all aspects are coordinated for seamless execution.
- Manage all necessary permits, licenses, and insurance requirements for events in the Denbigh, May Pen area.
- Provide on-site event management and coordination, troubleshooting any issues that may arise to ensure a smooth and successful event.
- Manage client communication throughout the planning process, providing regular updates and promptly addressing concerns.
- Conduct post-event evaluations to gather feedback, analyze success metrics, and identify areas for improvement.
- Stay updated on industry trends, new venues, and innovative event technologies to continuously enhance service offerings.
Required Skills
- Minimum 4 years of proven experience in event planning, with specific experience in both wedding and corporate events.
- Exceptional organizational and project management skills.
- Strong budget management and financial acumen.
- Demonstrated ability to negotiate with vendors and secure favourable terms.
- Excellent written and verbal communication skills, including presentation abilities.
- High level of creativity and aesthetic sensibility.
- Proficiency in event planning software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently, manage multiple projects, and meet tight deadlines.
- Problem-solving aptitude and ability to remain calm and effective under pressure.
- Valid driver's license and reliable transportation.
Preferred Qualifications
- Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
- Certification in Event Management (e.g., CMP, CSEP).
- A strong portfolio showcasing successful wedding and corporate events.
- Extensive network of established vendor contacts within the Denbigh, May Pen, and Clarendon region.
- Experience with digital marketing and social media promotion for events.
