Job Description
We are seeking a highly organized, proactive, and exceptionally discreet Executive Assistant to provide comprehensive administrative and strategic support to a senior executive within Equity Bank Kenya. This pivotal role demands meticulous attention to detail, impeccable judgment, and the ability to manage complex schedules, sensitive information, and high-priority tasks with the utmost professionalism. Key Responsibilities
- Manage and prioritize a dynamic executive calendar, scheduling meetings, appointments, and extensive travel arrangements (both domestic and international), including visa processing and itinerary planning.
- Act as the primary point of contact and liaison for internal and external stakeholders, screening communications, handling inquiries, and redirecting as appropriate with tact and discretion.
- Prepare, proofread, and edit confidential correspondence, presentations, reports, memos, and other documents, ensuring accuracy, professional tone, and adherence to company standards.
- Organize and coordinate high-level meetings, conferences, and events, including agenda preparation, detailed minute-taking, tracking action items, and ensuring timely follow-up.
- Handle sensitive and proprietary information with extreme care and confidentiality, strictly adhering to data privacy and security protocols.
- Oversee and manage various administrative projects, conduct research tasks, and support special initiatives as assigned by the executive.
- Process expense reports, manage invoices, reconcile corporate credit card statements, and track budgets with precision and compliance.
- Facilitate effective and efficient communication channels between the executive and various departments, subsidiaries, and external partners, ensuring timely information flow.
- Anticipate the executive's needs and proactively prepare necessary materials, information, and logistics for meetings, presentations, and other commitments.
- Maintain an organized, efficient, and professional office environment, managing supplies and equipment.
Required Skills
- Proven experience (minimum 4 years) as an Executive Assistant or Personal Assistant supporting senior-level management.
- Exceptional organizational and time management skills, with the demonstrated ability to multitask, prioritize effectively, and meet deadlines under pressure.
- Outstanding written and verbal communication skills in English, with a keen eye for detail, grammar, and professional correspondence.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual collaboration tools.
- Demonstrated ability to handle highly confidential information with absolute integrity, discretion, and a strong sense of ethics.
- Proactive, resourceful, and self-motivated with strong problem-solving capabilities and initiative.
