Job Description

Career.zycto is searching for a highly diligent and proactive Fleet Administrator to join our operations team in Freiburg im Breisgau. This full-time role is absolutely critical to maintaining the efficiency, safety, and compliance of our diverse vehicle fleet, which is central to our service delivery and overall operational success. As a Fleet Administrator, you will be the linchpin in ensuring that our vehicles are always ready for deployment, meticulously maintained, and fully compliant with all regulatory standards, both local and national. In this dynamic and pivotal position, you will take ownership of the day-to-day administrative management of our entire fleet. This comprehensive responsibility encompasses a wide range of tasks, including the meticulous handling of vehicle procurement and registration processes, the precise scheduling and coordination of routine maintenance and repairs, vigilant tracking of fuel consumption and mileage, and the diligent management of all driver records and licensing requirements. You will work closely and collaboratively with various internal departments, including operations, finance, and human resources, to ensure seamless fleet performance and to proactively address any emerging challenges or opportunities for improvement. Key Responsibilities

  • Manage the complete lifecycle of fleet vehicles, including procurement, registration, assignment, and decommissioning.
  • Coordinate and schedule regular vehicle maintenance, inspections, and repairs with external service providers, ensuring minimal downtime.
  • Maintain accurate and up-to-date records for all fleet vehicles, drivers, fuel consumption, and maintenance history.
  • Monitor and track vehicle performance, fuel efficiency, and usage data to identify areas for optimization and cost reduction.
  • Ensure strict compliance with all local and national transportation regulations, safety standards, and company policies.
  • Process and manage all fleet-related documentation, invoices, and expense reports in coordination with the finance department.
  • Assist in the development and implementation of fleet management policies and procedures to enhance operational efficiency.
  • Act as the primary point of contact for drivers regarding vehicle inquiries, issues, and accident reporting.
  • Prepare regular reports on fleet status, costs, and key performance indicators for management review.
  • Support initiatives related to fleet sustainability and technology adoption.

Required Skills

  • Proven experience (minimum 3 years) in fleet administration, logistics, or a similar operational role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficient in fleet management software, Microsoft Office Suite (especially Excel), and general office administration tools.
  • Strong analytical and problem-solving abilities.
  • Excellent communication skills, both written and verbal, in German and English.
  • Ability to manage multiple tasks, prioritize effectively, and work under pressure.
  • Deep understanding of German traffic laws and vehicle registration processes.
  • Valid driver's license (Class B).

Preferred Qualifications

  • Bachelor's degree or vocational training in Logistics, Business Administration, or a related field.
  • Experience with telematics systems and GPS tracking technologies.
  • Knowledge of sustainable fleet practices or electric vehicle integration.
  • Certification in fleet management or logistics is a plus.
  • Proactive approach to identifying and implementing process improvements.
