Key Responsibilities
- Process bi-weekly payroll for a multi-state employee base, ensuring accuracy and adherence to company policies and legal requirements.
- Maintain comprehensive payroll records, ensuring data integrity and strict confidentiality of all employee information.
- Verify timekeeping records, calculate wages, and resolve discrepancies by liaising with employees and department managers.
- Process various payroll deductions, including taxes, garnishments, benefits contributions, and other voluntary deductions.
- Assist with month-end and year-end payroll closing activities, including reconciliation of payroll accounts and preparation of W-2 forms.
- Ensure compliance with federal, state, and local payroll tax regulations and reporting requirements.
- Respond to and resolve employee inquiries regarding payroll, benefits, and tax-related matters in a timely and professional manner.
- Generate and distribute various payroll reports for management, finance, and human resources departments.
- Collaborate closely with Human Resources and Accounting teams to streamline processes and ensure seamless integration of data.
- Stay updated on changes in payroll legislation and best practices to ensure continuous compliance and process improvement.
Required Skills
- Proven experience (1.5+ years) as a Payroll Assistant or in a similar payroll processing role.
- Solid understanding of payroll processes, procedures, and relevant federal, state, and local payroll legislation.
- Proficiency with payroll software systems (e.g., ADP Workforce Now, Paychex, QuickBooks Payroll).
- Excellent data entry skills with a high degree of accuracy and attention to detail.
- Advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables) and other Office Suite applications.
- Exceptional organizational, time management, and problem-solving skills.
- Ability to handle sensitive and confidential information with discretion and integrity.
- Strong verbal and written communication skills for effective interaction with employees and colleagues.
- Capability to work effectively in a remote, self-directed environment while meeting deadlines.
Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation.
