Key Responsibilities
- Prepare and process shipping documents, including bills of lading, packing lists, and customs forms, ensuring accuracy and compliance with national and international regulations.
- Coordinate and schedule domestic and international shipments with various carriers and freight forwarders, optimising for cost and delivery time.
- Track and monitor shipment statuses from dispatch to delivery, providing proactive updates to relevant internal and external stakeholders.
- Verify incoming and outgoing shipments against invoices, purchase orders, and other records, identifying and resolving any discrepancies.
- Maintain accurate inventory records within the warehouse management system and assist with periodic stock counts and audits.
- Communicate effectively with suppliers, customers, and internal departments regarding shipping schedules, delays, and other logistics-related inquiries.
- Handle inquiries related to shipping, delivery, and logistics, providing timely and professional responses to ensure customer satisfaction.
- Ensure all shipping procedures adhere to company policies, health and safety regulations, and legal requirements.
- Operate warehouse equipment such as pallet jacks or forklifts (if certified) for efficient loading, unloading, and movement of goods.
- Organise and maintain the shipping area for cleanliness, safety, and operational efficiency.
Required Skills
- Proven experience (minimum 2 years) as a Shipping Clerk, Logistics Coordinator, or similar role.
- Excellent data entry and record-keeping skills with a strong emphasis on accuracy and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for administrative tasks and data management.
- Strong understanding of shipping procedures, documentation, and regulations, both domestic and international.
- Exceptional organisational and time-management abilities, capable of managing multiple priorities effectively.
- Ability to work independently and as part of a collaborative team in a fast-paced, dynamic environment.
- Effective written and verbal communication and interpersonal skills for liaising with diverse stakeholders.
Preferred Qualifications
- Familiarity with Enterprise Resource Planning (ERP) or Warehouse Management Systems (WMS) software.
- Valid forklift certification (e.g., counterbalance, reach truck) or willingness to obtain certification.
- Knowledge of customs regulations and international trade practices for import/export operations.
- NVQ Level 2/3 in Logistics, Supply Chain Management, or a related field.
- Experience with hazardous materials shipping protocols and documentation.
