Job Description

We are seeking a highly motivated and detail-oriented Event Coordinator with a strong focus on logistics and venue management to join our dynamic team at Wing Tai Restaurant. In this pivotal role, you will be instrumental in bringing our diverse range of events to life, ensuring seamless execution from conception to conclusion. You will be responsible for the intricate planning and coordination of all event-related logistics, meticulously managing vendor relationships, overseeing venue setup, and ensuring every detail aligns with our high standards and client expectations. Key Responsibilities

  • Plan, organize, and execute a wide array of events, including private parties, corporate functions, cultural festivals, and restaurant promotions.
  • Manage all logistical aspects of events, including scheduling, transportation, equipment rental, and staffing requirements.
  • Liaise with clients to understand their event vision, requirements, and budget, providing expert advice and creative solutions.
  • Source, negotiate with, and manage relationships with various vendors (caterers, decorators, entertainment, A/V suppliers, etc.) to ensure quality and cost-effectiveness.
  • Oversee venue setup, decoration, and breakdown, ensuring adherence to safety standards and aesthetic appeal.
  • Develop detailed event timelines, checklists, and floor plans.
  • Coordinate with internal restaurant staff, including kitchen and service teams, to ensure smooth event flow and exceptional customer service.
  • Manage event budgets, track expenses, and ensure financial targets are met.
  • Conduct post-event evaluations to identify areas for improvement and gather client feedback.
  • Act as the primary point of contact for clients and vendors on event day, resolving any issues promptly and professionally.

Required Skills

  • Minimum of 3 years of proven experience in event coordination, with a focus on logistics and venue management.
  • Exceptional organizational and project management skills.
  • Strong negotiation and vendor management abilities.
  • Excellent written and verbal communication skills in English and French; Creole is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.
  • Strong problem-solving skills and a calm demeanor under pressure.
  • Availability to work flexible hours, including evenings and weekends, as required by events.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Experience working in the hospitality industry, particularly within restaurants or hotels.
  • Familiarity with local suppliers and venues in Port Louis and surrounding areas.
  • A creative mindset with an eye for design and detail.
  • Certification in event planning or project management.
