Job Description
Career.zycto is seeking a highly creative, organized, and experienced Freelance Event Planner specializing in both wedding and corporate events to join our network of top-tier professionals. Based in the vibrant community of Rio Bueno, Trelawny, you will have the unique opportunity to manage a diverse portfolio of projects, from intimate dream weddings to large-scale corporate conferences and galas. This role demands a keen eye for detail, exceptional communication skills, and a proven ability to deliver flawless events from concept to execution.
As a freelance event planner, you will be responsible for all aspects of event coordination, including initial client consultations, budget management, vendor sourcing and negotiation, timeline development, and on-site management. You will work closely with clients to understand their vision, offering expert guidance and innovative solutions to bring their ideas to life while staying within their budgetary constraints. This position requires someone who thrives in a fast-paced environment, can manage multiple projects concurrently, and is passionate about creating unforgettable experiences. Key Responsibilities
- Conduct initial consultations with clients to understand their vision, objectives, and budget for weddings and corporate events.
- Develop comprehensive event proposals, including detailed timelines, conceptual designs, vendor recommendations, and cost estimates.
- Manage all aspects of event budgeting, tracking expenses, and ensuring financial targets are met.
- Source, negotiate with, and manage a wide range of vendors (caterers, venues, florists, entertainment, technical support, etc.) to ensure quality and cost-effectiveness.
- Design and create event layouts, themes, and décor concepts that align with client expectations and brand guidelines.
- Oversee all logistical elements, including transportation, accommodation, AV requirements, and guest management.
- Provide on-site event management and coordination, ensuring smooth execution and troubleshooting any issues that arise.
- Build and maintain strong relationships with clients, vendors, and industry partners.
- Conduct post-event evaluations, gather feedback, and analyze event success metrics.
- Stay updated on industry trends, new technologies, and best practices in event planning.
Required Skills
- Minimum of 4 years (48 months) of proven experience in event planning, specifically in wedding and corporate events.
- Exceptional organizational and project management skills.
- Strong negotiation and vendor management abilities.
- Proficiency in event management software and tools (e.g., Aisle Planner, Allseated, Canva, Microsoft Office Suite).
- Excellent written and verbal communication and interpersonal skills.
- Demonstrated ability to manage budgets effectively and creatively problem-solve under pressure.
- Proven track record of delivering high-quality, memorable events.
- Detail-oriented with strong multitasking capabilities.
Preferred Qualifications
- Bachelor’s degree in Hospitality Management, Marketing, Communications, or a related field.
- Certification in Event Management (e.g., CMP, CSEP).
- Experience working with international clients or destination events.
- Portfolio showcasing successful wedding and corporate event planning projects.
- Knowledge of local Jamaican venues, vendors, and cultural nuances.
