In this multifaceted role, you will be responsible for meticulously planning and coordinating various events, ranging from intimate weddings and grand celebrations to impactful corporate conferences, product launches, and gala dinners. Your expertise will be crucial in every stage, from initial client consultations and proposal development to budget management, vendor negotiations, and on-site event execution. You will act as the primary point of contact for clients, building strong relationships and understanding their unique needs and aspirations to deliver tailor-made event experiences. Key Responsibilities

  • Conduct thorough client consultations to understand event objectives, preferences, and budgetary constraints for both wedding and corporate events.
  • Develop detailed event proposals, timelines, budgets, and design concepts tailored to each client's specific requirements.
  • Source, negotiate, and manage relationships with vendors (caterers, venues, florists, entertainment, photographers, audiovisual technicians, etc.) ensuring quality and cost-effectiveness.
  • Oversee all logistical aspects of event planning, including venue selection, layout, permits, transportation, and accommodation arrangements.
  • Manage event budgets, track expenses, and ensure financial accountability throughout the planning and execution phases.
  • Coordinate on-site event setup, execution, and breakdown, ensuring seamless operation and addressing any issues promptly.
  • Provide exceptional client service, maintaining clear communication, and offering creative solutions to challenges.
  • Stay updated on industry trends, new venues, and innovative event technologies to continuously enhance service offerings.
  • Post-event evaluation, feedback collection, and financial reconciliation.

Required Skills

  • Proven experience as an Event Planner with a strong portfolio of both wedding and corporate events.
  • Exceptional organizational and time management skills, with the ability to manage multiple projects concurrently.
  • Strong negotiation and vendor management abilities.
  • Proficiency in budget management and financial tracking.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Creative flair and an eye for design and detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
  • Proficiency with event management software and Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Marketing, Public Relations, or a related field.
  • Certification in Event Management (e.g., CMP, CSEP).
  • Familiarity with local venues and vendors in Jack’s Hill, St. Andrew, and surrounding areas.
  • Fluency in additional languages (though English is primary).
