Key Responsibilities

  • Oversee daily office operations, ensuring a smooth and efficient environment for all staff.
  • Manage office supplies, equipment, and inventory, including procurement, stock rotation, and budget tracking.
  • Coordinate facility maintenance, repairs, and office improvements, liaising effectively with contractors and service providers to ensure minimal disruption.
  • Support HR with the seamless onboarding of new employees, managing personnel records, and coordinating internal communications to foster a cohesive team.
  • Implement and maintain robust office policies and procedures to ensure compliance, operational efficiency, and a safe working environment.
  • Organize and schedule meetings, appointments, and company events, including managing diaries, booking venues, and arranging logistical requirements.
  • Handle all incoming and outgoing communications, including mail, emails, and phone calls, directing inquiries appropriately and professionally.
  • Process invoices, expense reports, and petty cash, ensuring accurate record-keeping and adherence to financial guidelines and deadlines.
  • Act as the primary point of contact for all general office queries, providing prompt support and effective resolution.
  • Contribute to maintaining a positive, professional, and engaging company culture through proactive engagement, team support, and event coordination.
  • Manage travel arrangements and accommodation for staff and visitors as required, ensuring cost-effectiveness and comfort.

Required Skills

  • Proven experience (minimum 3 years) as an Office Manager or similar administrative leadership role.
  • Exceptional organizational and time management skills with a demonstrated ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal abilities, capable of engaging confidently and professionally with all levels of staff and external stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office management software.
