Key Responsibilities
- Manage complex and ever-changing calendars, scheduling meetings, appointments, and teleconferences across multiple time zones.
- Arrange comprehensive domestic and international travel itineraries, including flights, accommodation, transfers, and visa applications.
- Prepare detailed travel packs, including itineraries, briefing documents, and essential contact information.
- Act as the primary point of contact, screening calls and correspondence, and managing executive communication.
- Organise and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with the utmost discretion and professionalism.
- Process expenses, invoices, and other administrative paperwork accurately and promptly.
- Assist with presentations, reports, and other documents, ensuring high standards of accuracy and presentation.
- Support ad-hoc projects and personal errands as required to ensure executive efficiency.
- Maintain an organised and efficient filing system, both digital and physical.
Required Skills
- Proven experience as a Personal Assistant or Executive Assistant supporting senior-level executives (minimum 3 years).
- Exceptional diary management skills, proficient with various calendar software (e.g., Outlook, Google Calendar).
- Extensive experience in arranging complex domestic and international travel.
- Outstanding organisational and time management abilities, with a proven ability to multitask and prioritise effectively.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of discretion, integrity, and confidentiality.
- Proactive approach to problem-solving and anticipating needs.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
Preferred Qualifications
- A formal qualification in Business Administration or a related field.
- Experience working within a fast-paced professional services or recruitment environment.
