Key Responsibilities

  • Manage and meticulously organize office documents, files, and records, ensuring easy retrieval and strict compliance with internal policies and regulatory standards.
  • Handle all incoming and outgoing correspondence, including physical mail, emails, and phone calls, directing them to the appropriate personnel promptly and professionally.
  • Maintain an accurate office supplies inventory, efficiently place orders when necessary, and ensure the continuous availability of essential materials.
  • Assist in scheduling appointments, coordinating meetings, and meticulously managing calendars for team members as required.
  • Provide comprehensive administrative support to various departments, including precise data entry, thorough report generation, and compelling presentation preparation.
  • Efficiently operate and maintain office equipment such as photocopiers, scanners, printers, and fax machines.
  • Ensure the consistent cleanliness, tidiness, and organization of all office common areas, including the reception, meeting rooms, and break areas.
  • Assist with customer inquiries, provide general information, and courteously direct visitors to the relevant departments with utmost professionalism.
  • Support the logistics and coordination for internal events, workshops, training sessions, and team-building activities.
  • Perform other ad-hoc administrative duties and special projects as assigned by management, demonstrating flexibility and a willingness to assist.

Required Skills

  • Proven experience in an administrative or general office support role (minimum 1 year).
  • Excellent organizational skills with a strong ability to manage multiple tasks and priorities effectively.
  • Exceptional verbal and written communication abilities in both English and Sesotho.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with a solid understanding of basic computer operations.
