Job Description

We are seeking a highly skilled and experienced freelance Event Planner with a strong focus on both wedding and corporate events to join our dynamic network. Based in Montego Bay, Jamaica, this contract role offers the opportunity to work with a diverse clientele, bringing their visions to life for significant life milestones and professional engagements. As a freelance Event Planner, you will be responsible for managing events from initial concept to flawless execution, ensuring every detail aligns with our clients’ expectations and our company’s high standards.

This role requires a proactive, independent, and creative individual who thrives in a fast-paced environment and possesses exceptional organizational and communication skills. You will work closely with clients to understand their needs, develop comprehensive event plans, manage budgets, source vendors, and coordinate all logistical aspects. The ideal candidate will have a proven track record of successfully planning and executing a variety of events, demonstrating expertise in both the romantic nuances of weddings and the professional demands of corporate functions. Key Responsibilities

  • Consult with clients to determine event objectives, themes, and budgets for both wedding and corporate events.
  • Develop detailed event proposals, including timelines, vendor selections, floor plans, and comprehensive budgets.
  • Source, negotiate, and manage relationships with vendors (caterers, venues, decorators, entertainment, photographers, etc.) to ensure competitive pricing and high-quality services.
  • Oversee all logistical aspects of event planning, including guest list management, invitations, transportation, accommodation, and on-site coordination.
  • Manage event budgets, track expenses, and ensure financial targets are met.
  • Conduct site visits and walkthroughs to ensure venues meet event requirements and facilitate smooth operations.
  • Provide exceptional client service, maintaining clear and consistent communication throughout the planning process.
  • Lead on-site event execution, supervising vendors, staff, and timelines to ensure a seamless and successful event.
  • Address any unforeseen issues or challenges promptly and effectively during events.
  • Conduct post-event evaluations, gather feedback, and provide recommendations for future improvements.

Required Skills

  • Minimum 3 years of professional experience in event planning, specifically with wedding and corporate events.
  • Proven ability to manage multiple projects simultaneously from concept to completion.
  • Exceptional organizational and time management skills.
  • Strong negotiation and vendor management abilities.
  • Excellent written and verbal communication skills in English.
  • Proficiency in event management software (e.g., Aisle Planner, Allseated, Asana, Microsoft Office Suite).
  • Creative flair with a keen eye for aesthetics and detail.
  • Ability to work independently and as part of a collaborative team.
  • Strong problem-solving skills and ability to perform under pressure.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Management (e.g., CMP, CSEP).
  • Experience planning events for international clients or destination weddings.
  • Knowledge of local Jamaican vendors, venues, and cultural considerations.
  • Ability to speak Patois or another foreign language.
